ADP 5.3 Oracle HR/Perspective workstation steps – rev12-21-06 – Keep Catalog


When setting up users in ADP system, you will need:

  • To close/turn off any applications (e.g. word processor, spreadsheet, virus scanner, screen saver, Weatherbug, IM programs, toolbars, PCAnywhere) that are running on the workstation. If you are running Microsoft Office for Windows and have the Microsoft Office Manager toolbar on the desktop, close the icon.

Important: Failure to close all applications may cause errors during the upgrade.

  • To be local machine administrator or have equivalent rights 

  • OS: Windows 2000 SP4 or XP SP2 (see ADP’s Product Requirements Card for complete details on workstation requirements

  • At least 512 MB of RAM with a couple of gig of free space on the hard drive 

  • To be sure File and Printer sharing for Microsoft Networks is enabled, and the Server service is started on the workstation

  • All users logged out of HR Perspective for the duration of the install (30-45 minutes).  This is not true if only installing Payroll or ReportSmith components.


If you are UPGRADING a workstation, make sure you safeguard the following into a folder outside of the C:\ADP folder files BEFORE starting the upgrade:

  • ReportSmith: the \Reports, \Macros and \Database folder locatedat :\Adp\ReportSmith on the workstation

Important: If you do not remove them before the upgrade, ANY CUSTOM REPORTS WILL BE DELETED

  • Online Help Bookmarks & Annotations: Bookmarks or annotations you created in you current version of ADP’s online help will not be converted. Write down the topic locations and texts for these annotations

  • HR/Perspective: All the *.MDB files under :\Adp\HRPerspective on the workstation

  • Pay Detail Files: the \ADPSave. \ADPExp, \ADPLog,  and \ADPData folders at :\ADP\PCPW on the workstation

  • At the database server:   Hrsys,MDWunder :\ADP\Hrsys\


For HR Perspective Installs Only:


  1. Install Word 97, 2000, 2002 or 2003.


  1. Install Access 2002 (same as XP) with SP 3 or Access 2003 with SP 2.

  • Basically, you want to do a "Custom" install. Then, from the tree, make sure "Run from my computer" is selected for both "Typical Wizards" and "Additional Wizards." Next, select "Remove only the following applications", ensure Access is NOT select, click "Next" and "Install." In addition, if you plan on running different versions of office on the pc, I would change the install location to Microsoft Office XP. 


  1. Install MSJET 4.0 Service Pack 8 (Note: Win XP SP2 workstations will already have this installed).


For All Workstation Installs


  1. Map to any drive letter to \\nwb-adp\adp$ Be sure the mapping will reconnect on reboot for HR/P.


  1. Browse to the mapped drive __:\ADP\PCPW.DSK\Disk 1 directory and run Setup.exe.

  • Install will begin, first installing .Net Framework, MDAC, MSDE and Crystal. The installer may ask for a reboot. You MUST reboot if directed.

  • After the .Netinstall,/License Agreement/etc, for new installs, you will be given the screen to choose which pieces you want to install on the workstation. Check the appropriate boxes: 

  • PC/Payroll 

  • Easystart (if you install PC/Payroll)

  • ReportSmith 

  • HR/Perspective and HR/Toolbox (for HR users)

  • Training.

[NOTE: For upgrades. It will not ask. It will upgrade what is already installed on the PC]

  • You can change the drive letter (i.e., from "C" drive to "D" drive but not the target folder), otherwise accept the defaults.

  • The ReportSmith code is 323374582p.

  • XP SP2 workstations will experience an “MDAC 2.8 incompatible” error.  Cancel twice – this will not affect install.


  1. If you are upgrading from version 5.1 and PC/Payroll is installed on this workstation: On the workstation, browse into :\ADP\Sqlbase and run the Ospimport.exe. Allow it to run though.


  1. If PC/Payroll Installed: Open ADP PC Payroll for Windows and logon to test:

  • Test On-site Printing. Go to Utilities->On-site Printing.  ADP On-site Printing will open.  From OSP, go to Utilities->View/Print Audit Report.  Then click on the Preview button.  You should see a blank header.  Close OSP. 

  • Print Master File Audit Report: Go to Employee->Open. Select an employee. Go to Employee->Print. Master File Audit Report should be checked in the window that opens up. Make sure you know where you are printing to (“Printers”) and then select “Print”. Select “Page 1 to 1” then “Print”.


  1. If HR/Perspective Installed: Log onto HR/Perspective. [All users should be logged out of HR Perspective for the duration of this step.] ADP Software->HR/Perspective. Allow “Attach Database Tables” process to run through (will take several minutes).  Exit HR/P.


  1. If HR/Perspective Installed: Log onto HR/Import. ADP Software->HR/Import. [All users should be logged out of HR Perspective for the duration of this step.]  Allow “Attach Database Tables” process to run through (will take several minutes).  Exit HR/Import.


  1. If HR/Perspective Installed: Log onto HR/Toolbox.  ADP Software->HR/Toolbox. [All users should be logged out of HR Perspective for the duration of this step.]  Allow “Attach Database Tables” process to run through (will take several minutes).  Exit HR/Toolbox.


  1. Setup and test ReportSmith. See instructions below


  1. Optional – Training & Documentation: Install Payroll and/or HR/Perspective Training on workstation. Insert Training each CD.  Install both Documentation and Training.  If prompted to “Save” or “Open,” choose “Open.”  Install Adobe Acrobat reader from Training CD if not already on workstation.  The training files program will be located in the Program Group, “ADP Training.”  Disregard any messages about service pack 3.



For All workstation Installs: Once installed and patched, you must login to the workstation as the User and test all installed ADP applications to make sure there are not “rights” issues with the install. 



For Workstations that will be Sending and Receiving Data to/from ADP


If you are installing a workstation that will be used to send/receive payroll, there is a communications setup that is required. You should have a set of Install Instructions with your ADP materials. Go to “Setup”->”Communication Configuration” and input information provided on the install instructions.


To test your setup, go to Utilities ->Receive files. Select a company code from the list and click “OK”. Select “Schedule”, click "OK." Enter transmission password (for testing purposes, entering an incorrect password will confirm connection to ADP if you receive  “the password is wrong” error). If you receive an Error, check the Error log. If the error states either there were no files on the server or your password was wrong, you have connected properly to ADP, there just wasn't anything for you to receive and/or you entered the wrong password.





For HR Perspective Installs Only: 


Users will need a persistent drive mapping with read, write, modify rights to the HRSys folder and it’s contents.


If this drive mapping is not to the root of the server drive, you may need to change the following registry entries for the HR/P portion of ADP product.  If the drive mapping to something other than the root of the drive, it will not match the following registry entries, and you'll get an bad password error message.


  • hkey_local_machine\software\BMS\hrsys\jet\4\engines\systemdb 

  • Value “SystemDB” must match workstation mapping at… _:\ADP\HRSYS\HrSys.mdw

  • hkey_local_machine\software\hrsys\hrexplorer\officelinks  

  • Value “Public Files” … _:\Adp\HRSYS\Toolbox)

  • hkey_local_machine\software\hrsys\locations  -

  • Value “Textlibpath” … _:\Adp\HRSYS\Toolbox\Textlib)


You will need to edit the three .reg keys to match the path.





Setup & Testing of Reportsmith:


I.  Steps for NEW workstation installs:


Below is an overview, See upgrading ADP PC/Payroll v5.3 “For ReportSmith Users – Read Me First!” Guide at “Installing ReportSmith” for detailed information on installing ReportSmith.


  1. Upgrade to ReportSmith v5.1

  • From your :\Adp\Rptsmith directory on the WS, copy the \Database, \Macros and \Reports folder into a backup folder outside of :\ADP

  • Close all applications that may be running on the workstation. Failure to close all applications may cause errors during the update

  • From ReportSmith 5.1 Service Pack for PCPW 5.3 CD (we suggest copying the CD to the server in a folder called  “RS 51 Patch” under :\ADP\Pcpw.dsk\

  • At the SELECT PROGRAM FOLDER WINDOW, change Program Folder to “ADP Software” under Existing folders or ReportSmith will be in its own program group.

  • ALWAYS say NO to "would you like RS scheduler to start auto on reboot"

  • Click Finish to Reboot your workstation

  1. Log on to ReportSmith. At the Security Log window, default user id and password are; “administrator” and “admin.” [Note: ADP recommends that you change your password after the initial logon for security purposes. See ReportSmith guide for more information.]


  • If you plan to use the ReportSmith catalog, continue on to step 3. 

  • If you plan to remove the catalog, see “ReportSmith Setup – Removing the ReportSmith Catalog” below.


  1. Create Catalog

  • Go to file > open > type REPORTS as catalog name

  • Catalog window will open 

  • Right click on Reports Folders. Select new folder and name it “53 Sample Reports”

  • Right click on Report Folders. Select new folder and name it “My Reports”

  • Click the “IMP” button in the upper right hand corner to import reports > browse to the “Sample Reports Folder” on the CD (generally, we put a copy on the database server in the \ADP\Pcpw.dsk folder)

  • Note: If you have users without Admin rights, you must change each report’s Report Security property from Private to Read Only so those users can access the sample reports. To do this, select the report; right-click and select “Properties”; select the “Security” tab and deselect “Private” to change the default to “Read Only’; click “OK”.


II.  Steps for workstation UPGRADES:


Below is an Overview of the steps involved in the upgrade. See upgrading ADP PC/Payroll v5.3 “For ReportSmith Users – Read Me First! ” Guide at “Upgrading ReportSmith” for detailed information on upgrading ReportSmith.


  1. Upgrade to ReportSmith v5.1

  • From your :\Adp\Rptsmith directory on the WS, copy the \Database, \Macros and \Reports folder into a backup folder outside of :\ADP

  • Close all applications that may be running on the workstation. Failure to close all applications may cause errors during the update

  • From ReportSmith 5.1 Service Pack for PCPW 5.3 CD (we suggest copying the CD to the server in a folder called  “RS 51 Patch” under :\ADP\Pcpw.dsk\

  • At the SELECT PROGRAM FOLDER WINDOW, change Program Folder to “ADP Software” under Existing folders or ReportSmith will be in its own program group.

  • ALWAYS say NO to "would you like RS scheduler to start auto on reboot"

  • Click Finish to Reboot your workstation

  1. Log on to ReportSmith


  • If you plan to use the ReportSmith catalog, continue on to step 3. 

  • If you plan to remove the catalog, see “ReportSmith Setup – Removing the ReportSmith Catalog” below.


  1. Create Catalog

  • Go to file > open > type REPORTS as catalog name

  • Catalog window will open 

  • Right click on Reports Folders. Select new folder and name it “53 Sample Reports”

  • Right click on Report Folders. Select new folder and name it “My Reports”

  • Import  new sample reports: Click on the 53 Sample Reports folder then click the “IMP” button in the upper right hand corner to import reports > browse to the “Sample Reports Folder” on the CD (generally, we put a copy on the database server in the \ADP\Pcpw.dsk folder)

  • Note: If you have users without Admin rights, you must change each report’s Report Security property from Private to Read Only so those users can access the sample reports. To do this, select the report; right-click and select “Properties”; select the “Security” tab and deselect “Private” to change the default to “Read Only’; click “OK”.

  1. Import Custom Reports [If you are upgrading from ADP PC/Payroll 4.0 or 4.5, skip this step and continue to step 5, Convert Reports.

  • Click on the My Reports folder you just created in the catalog.

  • Click on the “Imp” button located in the upper right of the catalog.

  • On the Import File window, browse to the directory where your custom reports are located. Select some or all (Ctrl + A will highlight them all) to import, click open. 

  • In the Import File window that pops up, you can rename the file and/or change the description of the file before you save it into the catalog. See ADP ReportSmith guide for details on this process. Once satisfied, click OK to import them. If necessary, refresh to verify that all your reports have imported successfully.

  1. Important:  You must back up your reports in a separate directory before running the conversion utility. Also, verify that the reports are not read-only.

  1. Convert Reports: If you have updated the database and created reports or modified and saved sample reports in the previous version, you must convert these reports to run with your current version of ReportSmith.

  • Log into ReportSmith. Open catalog (File->Open)

  • Select the “My Reports” folder

  • In the upper right hand corner of the catalog toolbar, click the “Cnv” button. Click Ok to warning as you should have already backed up your reports at step 1.

  • The “Convert Reports” window is displayed, be sure the fields are displayed as follows:


  • Click OK.

  • In the Get Connection Data window, type correct password and click OK. Conversion utility will attempt to convert all repoorts in the “My Reports” folder.

  • Click OK if you get a “No Rows Found” message box.

  • A “Ready’ message is displayed in the bottom left corner of your ReportSmith window once the reports are converted.

Important:  Review the C:\Rptcnvrt.log to view a list of reports that were not converted and any reports that were converted with errors. Any reports listed must be converted manually. See upgrading ADP PC/Payroll v5.3 “For ReportSmith Users – Read Me First!” Guide for at “Convert Reports with Errors” and “Converting a Report Manually” for detailed information on reviewing the Rptcnvrt.log and fixing conversion issues.


Note: The conversion process must be done on EACH folder containing custom reports – not just the “My Reports” folder. This includes any subfolders, as well as any Sample Report folders that contain custom reports or customized changes to the sample reports


III.  Steps to remove the ReportSmith catalog:


Below is an Overview of the steps involved in the upgrade. See upgrading ADP PC/Payroll v5.3 “For ReportSmith Users – Read Me First!” guide at “Removing the ReportSmith Catalog” for detailed information on upgrading ReportSmith.


Warning: If your catalog is shared on the server, please contact ADP ReportSmith support before continuing with the removal of the catalog.

Important: ADP recommend you backup the \Reports, \Macros and \Database folder located under \ADP\RPTSMITH to a folder outside of \ADP on the workstation.

Important: The catalog remover does not delete or move encrypted reports, so ADP recommends you save them to a backup directory.


Note: You must use the catalog remover that corresponds to your ReportSmith version. ADP’s ReportSmith guide discussed this in detail. To minimize complications, we recommend – and our instructions involved – upgrading your catalog to v5.1 then using that versions catalog remover. If you wish to remove the catalog using one of the other versions, see the upgrading ADP PC/Payroll v5.3 “For ReportSmith Users – Read Me First!” guide for detailed information on your options.


  1. [If not already upgrade per ReportSmith “New Install” or “Upgrade” instructions above]Upgrade to ReportSmith v5.1

  • From your :\Adp\Rptsmith directory on the WS, copy the \Database, \Macros and \Reports folder into a backup folder outside of :\ADP

  • Close all applications that may be running on the workstation. Failure to close all applications may cause errors during the update

  • From ReportSmith 5.1 Service Pack for PCPW 5.3 CD (we suggest copying the CD to the server in a folder called  “RS 51 Patch” under :\ADP\Pcpw.dsk\

  • At the SELECT PROGRAM FOLDER WINDOW, change Program Folder to “ADP Software” under Existing folders or ReportSmith will be in its own program group.

  • ALWAYS say NO to "would you like RS scheduler to start auto on reboot"

  • Click Finish to Reboot your workstation

  1. Run the Catalog Remover:

  • Close all applications.

  • From the “ReportSmith v5.1.0.1 CD for ADP PC/Payroll 5.3” CD (we also generally put a copy of this CD up on your database server at :\ADP\PCPW.DSK\ in a folder called “RS 51 Patch”), browse to “CD”:\Catalog Remover\ and run the Setup.exe

  • Follow the instructions in the ReportSmith Catalog Remover wizard. 

  • When instruction, reboot.

  1. Verify that the exported reports run without errors.

  • Open Reportsmith

  • Go to File -> Open

  • In the “Open Reports” window, browse into the \ADP Sample and the \My Reports folder (or whatever folders you have created), and select and run a report. Verify that it runs without errors. Repeat for at LEAST one report in each directory and sub directory.

  1. Create a backup directory for the encrypted reports.

  • After you have verified your exported reports run without errors, ADP recommends you move the encrypted reports to a backup directory (e.g., create a directory on the workstation called _:\Adp\rptsmith\Reports\BACKUP and put a copy of them in there).

  • The encrypted reports reside in __:\ADP\Rptsmith\Reports on the workstation.




After the Upgrade:


Should any immediate issues arise (2-3 days) when attempting to install workstations, please feel free to contact your HERO Data Services install specialist.  For ongoing support (or if your HERO Data rep is unavailable), please contact ADP PC Tech Support directly.



Moving to a new workstations

If your users gets a new workstation at some point in the future, you will want to safeguard and move your ReportSmith reports to the new workstation. How you do this will depend on how your ReportSmith is set up (Catalog vs No Catalog), so you may want to call ADP PC Tech Support for assistance.


In addition, the ADP pay detail files are saved on any workstations used to send and receive payroll. This being the case, you will also want to safeguard and move the CONTENTS of the \ADPSave. \ADPExp, \ADPLog, and \ADPData folders at :\ADP\PCPW on the old workstation into the corresponding folder on the new workstation; however, you do not want to overwrite the contents of the \ADPData folder on the new workstation. You just want to copy in the additional files. For additional help, call ADP PC Tech Support for assistance.
